Contacts: Create a new contact

When would I create a contact by hand?

Most contacts arrive in Keaz on their own: through the Shopify import, or the first time someone writes to you on WhatsApp. Manual creation covers everyone who does not. A customer who gave you their number at an event, a wholesale buyer you deal with by phone, a test contact for a flow you are building — none of them come through the automatic routes.

Where do I find Create new contact?

Open Audience from the main navigation and switch to the Contacts tab. The Create new contact button opens the New contact panel on the right-hand side of the screen.

Which fields does the panel have?

The panel is split into three sections. Basic information holds the contact's details:

  • First name and Last name
  • Phone number — required for WhatsApp communication.
  • Email
  • Custom property — a button that adds an extra field of your own.

Below that, Labels offers Add label, which assigns a label to the contact as you create it. Comments offers a Comment field for an internal note. At the bottom, Cancel discards the form without saving and Save creates the contact.

How do I create a contact, step by step?

  1. Open Audience → Contacts and click Create new contact.
  2. Fill in the fields, at minimum the phone number.
  3. Optionally add labels and a comment, plus any custom properties you need.
  4. Click Save. The contact is added to your contact list.

Why label a contact while creating it?

A label applied at creation makes the contact segmentable immediately, so they can be picked up by the next campaign rather than sitting unclassified until someone tidies up. This matters most for contacts you add in batches — an event list, a wholesale group — where the label is the only thing distinguishing them later. See how labels work for what labels can do, and the Segment Builder for how to filter on them.

What happens after I save?

The contact appears in the Contacts overview right away. Two things are worth knowing about what you will — and will not — see there:

  • Opt-in level and RFM are assigned automatically from the contact's own actions and purchase behaviour. You do not set them in this panel.
  • The contact can be written to from the Inbox as soon as a phone number is stored — see Inbox: Overview.

Does adding someone here mean I may send them marketing?

Creating a record and having permission to market to that person are two different things, and this panel only does the first. Keaz derives a contact's opt-in level from what the contact themselves does — typing a keyword, using a widget, replying on WhatsApp — so typing a number into a form does not produce consent.

That is why manually added contacts can look invisible to your campaigns: the segment condition Opt-in level filters them out. To see which levels exist and what each one permits, read opt-in levels: how subscribing and unsubscribing works. For the legal background and for ways to collect a proper opt-in from people you already know, see our guide to collecting WhatsApp opt-ins the GDPR-compliant way.

Frequently asked questions

Which field is mandatory?
The phone number. Without it the contact cannot be reached over WhatsApp, so fill it in even when you only have partial details.
Does creating a contact opt them in?
No. Opt-in level and RFM are assigned automatically from the contact's own actions and purchase behaviour, not from the record you create.
Can I message the contact straight away?
Yes, a manually created contact can be written to from the Inbox as soon as a phone number is stored.
What are custom properties for?
They are extra fields you define yourself, for details your business tracks that the standard fields do not cover. Add one with the Custom property button.
