Settings: Connect your WhatsApp account

What do you need before you start?

• Admin access to your company's Meta Business Portfolio. 360dialog asks about this explicitly during the process.
• Complete company details in Meta: registered name, address and phone number. Missing details are the most common reason verification fails.
• A commercial register extract, which Meta regularly asks for as proof.

Plan for two working days. The setup itself takes minutes, but Meta's review takes longer.

How do you start the connection in Keaz?

1. Sign in at keaz.app and bookmark the page — this is where you manage messages, newsletters and contacts from now on.
2. On the dashboard, find Connect WhatsApp under What to do next and click Connect.

The entry is marked "Required before you can send your first message". Connect Shopify sits above it but is independent — you can do that one later.

How do you set up your 360dialog account?

360dialog opens next. It is our WhatsApp Business Solution Provider, based in Berlin, and the flow is labelled Keaz – Partner payment.

If you already have a 360dialog account, click Log in. The link sits in small text under the Continue button. Miss it and you create a second account, which leaves your connection on the wrong one.

1. Enter your email address and a password, then click Continue. Note the password down — you need it for every later sign-in.
2. Open the confirmation email from 360dialog and click the verification link. The Register client form shows "Email not verified" until you do; use Resend if nothing arrives.
3. Fill in Full Name, Company Name and Country, and complete the captcha.
4. Tick both boxes: sharing your contact details with Keaz, and the Terms of Service. The first one is what allows your account to be set up on our side.

Should you use a Meta-provided number or your own?

For the first setup we recommend Use Meta-provided number. The link sits below the Next button, separated by an "Or". It is a US number, but your customers never see it in the chat — they see your display name, exactly like a saved contact. The number only appears if someone opens the account details.

You can move to your own landline or mobile number later, once WhatsApp is working for you. Starting with your own number means finding a free, WhatsApp-capable line first, which slows the setup down.

How do you connect and verify your Meta Business Portfolio?

360dialog now asks two questions, each with a "How to check?" link. Answer them honestly — they decide whether the flow can continue.

• Do you have admin access to the Meta Business Portfolio? Without admin rights the connection cannot be made. Ask whoever manages your Business Portfolio to grant them first.
• Is your Meta Business Portfolio verified? If it is not, answer No / Not Sure and 360dialog guides you to the check instead of letting you run into an error.

Sign in to the Facebook window with your personal profile. This is required because you act as an administrator of your company account; nothing from your private profile is linked or published. Confirm the preselected Business Portfolio and Create WhatsApp Business Account, pick a plain, general category for your business, and finish. The last step can take several minutes — minimise the window rather than closing it.

Verifying your business with Meta

If your business is not verified yet, Keaz shows a Verify your business task in your setup list once WhatsApp is connected. Its button links straight to the right screen in the Meta Business Manager, so you do not have to navigate there yourself.

1. Check the company details first. If they read "No name", "No address" or "No phone number", fill them in. Meta cannot verify what has not been entered — this is the most common cause of a failed verification.
2. Enter the registered company name exactly as it appears in the commercial register, including the legal form. Address and phone number have to match the register data too.
3. Open the business verification status and start the verification. Choose your country and legal entity type, and add an alternative name if customers know you under a different one.
4. Upload the commercial register extract if Meta asks for it, then confirm the code Meta sends you by email.

Meta then reviews in the background. Verification also raises your messaging limits, so it is worth completing even while you are still testing.

How do you set your sender profile?

Back in Keaz, the setup list shows Set up sender profile — display name and avatar for outgoing messages. It opens your WhatsApp settings.

The display name is what your customers see in the chat; it replaces the phone number for them. Use the name they know you by rather than your full legal entity, and avoid special characters and umlauts — they are not carried over reliably. If you sell in several markets, pick the one you will message first.
